Essential Duties and Responsibilities
Summary:
The Purchasing Agent is responsible for planning, scheduling, and negotiating transactions connected with procuring materials, supplies, tools, and services. This role involves obtaining production schedules, determining order quantities, overseeing inventory control systems, and ensuring the quality and quantity of incoming materials. The Purchasing Agent follows up with vendors, resolves issues, and maintains various records to support production operations.
Key Responsibilities:
Procurement Planning and Scheduling:
• Plans, schedules, and handles transactions to procure materials, supplies, tools, and services.
• Obtains production schedules and determine appropriate order quantities.
• Oversees inventory control systems for raw materials and other necessary supplies to support production operations.
Vendor Management:
• Follows up on orders as needed to ensure timely delivery.
• Resolves vendor-related issues and handle correspondence.
• Advises the Supply Chain Manager of any vendor or purchasing concerns.
Inventory Management:
• Maintains perpetual records on materials and performs physical spot checks and counts weekly.
• Assists with audits and lead physical inventories.
• Investigates and corrects inventory issues, including negative inventories, ABC cycle counting, BOM corrections, safety stock, and bin locations.
• Provides reports and 5Why Analysis for various SQDC boards within the facility.
Quality Control:
• Ensures the quality and quantity of incoming materials.
• Manages returns of defective materials.
• Provides training and support to material handling staff regarding material movement and home locations.
Employee Relations:
• Fosters positive working relationships.
• Responds proactively to performance concerns, discipline, employee complaints, and other employee relations matters.
Record Maintenance:
• Maintains and updates various computerized and hard copy files and records, including vendor, price, product, material files, receiving reports, and open/completed purchase order records.
• Reconcile Accounts Payable invoices with receiving reports.
Internal Coordination:
• Coordinates work with Plant management, Sales, Accounts Payable, Shipping, the Product Analyst, and other internal personnel as needed.
Supplier Selection and Negotiation:
• Solicits bids, analyzes quotes, and selects and recommends suppliers providing items and services at the most favourable price consistent with quality, quantity, specifications, and other factors.
• Negotiates with vendors on substitutions, replacements, cost, freight, and handling charges as directed by the Operations Manager (excluding Corporate Sourcing).
Continual Improvement and Compliance:
• Stays current on industry trends and attends appropriate training programs to remain informed on manufacturing, health, and safety issues.
• Works with the Safety Champion to ensure appropriate PPE is purchased.

Experience/Education
Desired:
• Bachelor’s degree/College Diploma in Supply Chain Management, Business Administration, or a related field
Required:
• 1-3 years of proven experience in Purchasing or Procurement, preferably in a manufacturing environment
